    In their words

“Working with Crafting Chaos to build Happy Pot's Notion has probably been the biggest positive change in the way we do business since we started. The level of individual attention to create Happy Pot's 'digital brain' has allowed me to effectively delegate and lead my team with clarity every day. The team is always at the ready to quickly and precisely troubleshoot, optimize and simplify our processes. I would recommend working with Crafting Chaos to anyone who wants to level up their operations.”

    Introduction

Happy Pot is a small custom 3D-prints company focused on B2B sales. They arrived with a fragmented Notion workspace that made it hard to track proposals, outgoing client messages, and their CRM in a single place — slowing day-to-day work and obscuring the sales pipeline.

    The Challenge

Happy Pot needed a central hub to run the business. We spent time with Chris and his team, observing their workflow and identifying where processes could be simplified or automated. The goal was clear: reduce friction, remove double entry and make information easier to access.

    Our Solution

Follow the key milestones that turned Happy Pot's fragmented Notion workspace into a dependable operations hub.

    Step 1

We built a set of interconnected databases that brought all of Happy Pot’s data together. Particular focus went into designing a highly functional front page, dense with information, that now acts as Chris’s daily mission control. It is the first place he goes each morning to see priorities, tasks and upcoming work.

    Step 2

We implemented a Notion native automation between the Leads and Clients databases. When a lead’s status moves from Quote to Accepted, all relevant information automatically transfers to the client database, eliminating manual copy and paste and preventing errors.

    Step 3

We created a dedicated portal to streamline communication with a partnered marketing agency. This gave both teams a structured place to approve work, track progress and stay aligned.
